Why Should You Trust This Vendor List I've Compiled?

I've used a lot of different HR platforms throughout the years. Moreover, I've spoken with organizational representatives at all levels – from entry-level HR staff to CEOs and other key stakeholders – who have also used a variety of HR tools during their careers. Onboarding software and other HRMS platforms are used extensively in nearly every industry imaginable, including IT, manufacturing, retail, SaaS, and more, so I've made sure to collect feedback from HR staff in a variety of fields and professions.

But this isn't meant as an all-inclusive list. For starters, there are way too many options available today to list in one guide. Instead, I've focused on the top entries – each of which takes a unique and, more importantly, useful approach – to the employee onboarding process.

Best Employee Onboarding Solutions Reviewed

While there are many onboarding solutions to consider, none of them are identical. Each one offers a specific set of features that sets it apart from the competition, so there's a good chance that you'll find one on this list that meets your needs.

1. Remote - Best Global HRMS for Onboarding Remote Recruits

Remote onboarding software for HR professionals

Built as a full-scale human resources management system (HRMS), Remote is a global platform that offers talent recruitment and onboarding, payroll processing, and HR recordkeeping. Remote serves as an employer of record (EoR), so companies can begin hiring global talent immediately – even without maintaining a local presence in the area. Their built-in tools make it easy to meet local compliance obligations, provide accurate and timely payroll, and manage all of your HR needs.

Remote also offers an online HR library for those who want to expand their knowledge of global HR processes, policies, and standards. The onboarding platform provides access to the latest research, including data regarding local jobseekers and emerging employment trends, and they have a free employee cost calculator that helps you determine the actual cost of every employee on your team – regardless of their geographic location.

Finally, Remote has an insightful blog that is regularly updated with stories and articles surrounding global teams, compliance, general business management, and more. Most of the posts are created by a dedicated team of experts, but they do feature guest writers on occasion, too.

screenshot of HR onboarding software eloomi

Having entered the market in 2015, eloomi is one of the youngest employee onboarding tools on this list. But don't let that scare you away – eLoomi is a comprehensive learning and development platform that offers integrated onboarding support. Not only does it provide an easy-to-use onboarding template for those who want to get started right away, but eloomi also lets you build a customized onboarding process from scratch.

Since eloomi is really meant as a learning management system (LMS), it offers all the features you'd expect – including thorough analytics and reporting, real-time employee feedback, online certifications, and workforce rewards. Individual employees can even use eLoomi to specifically request feedback from their teammates, making it a great platform for team-building and interdepartmental communications.

The eloomi platform also utilizes next-gen artificial intelligence (AI) to help you create new training courses, quizzes, and more. Although eloomi AI is still in its infancy stages, the tool is already available for eloomi users. It can even translate your course materials into a variety of additional languages, making it a great choice for those who need to onboard or train recruits from all around the world.

Combine that with automatic tax filing, compliance, analytics, and reporting, and you have online onboarding software that meets nearly all of your HR, IT, and finance needs.

Rippling was designed specifically with small- and medium-sized businesses in mind. The platform is at its best when servicing less than 2,000 employees, so larger enterprises will likely want to look elsewhere. For teams of moderate size, however, Rippling is one of the leading choices on the market today.

For new customers who want to get started as quickly as possible, Rippling offers hundreds of pre-made templates – including payroll report templates, employee onboarding and offboarding surveys, payroll auto-approval failure alerts, pay run approved notifications, and more. Although Rippling doesn't offer a free trial of their software, interested parties can sign up for a free product demonstration before committing to a purchase.

  • State tax registration isn't available in their basic payroll service and must be added for an additional fee
  • In some cases, app notifications do not appear in your email inbox until several hours after the event

4. Enboarder - Great Solution for Onboarding & Offboarding Automation

Employee onboarding software Enboarder

While many of the other platforms on this list only offer onboarding as a secondary feature, the entire Enboarder platform was designed around onboarding and offboarding employees. It's simple enough for novice HR leaders to start using right away, but it's also deep enough for experienced teams who really want to take their employee engagement to the next level.

But Enboarder isn't just for onboarding and offboarding. It's also useful when employees are transitioning to new roles in the workplace or when they are returning to their roles after extended leaves of absence. Not only does the reboarding process help them assimilate back into their role as quickly as possible, but it can help drive employee engagement, productivity, and morale, too.

Enboarder also offers an online resource center that is full of customer stories, expert research, and helpful templates that can help you make the most of your time with the platform. They even offer online webinars, eBooks, and cost calculators for those who want a little bit of guidance when it comes to modern onboarding, offboarding, and reboarding processes.

  • The website lacks general organization and isn't as user-friendly as it could be
  • It's difficult to communicate with multiple stakeholders without sending separate messages

Screenshot of employee onboarding software ClearCompany

ClearCompany has been offering their services since 2004. Designed as a comprehensive talent management solution, the employee onboarding platform makes it easy to maximize your current staff while recruiting and onboarding new recruits. Their core functionality has ClearCompany positioned as a leading applicant tracking system (ATS), but they're much more than that. ClearCompany facilitates talent recruitment, employee engagement, performance management, workforce planning, people analytics, and more.

But ClearCompany also works great for onboarding new recruits. A digital onboarding packet can easily be customized with notes from managers, required tasks, and a checklist of onboarding activities so new recruits can track their own progress through the system. Numerous onboarding packets can be created and saved, so your organization can easily accommodate part-time, full-time, remote, and global employees. Comprehensive compliance and risk management tools serve to round out the entire ClearCompany package.

Although there isn't a free trial available for ClearCompany, interested parties can schedule a hands-on product demonstration or watch an online video of the platform in action. Their core features are included with every pricing tier, including HR data and reporting, hiring, onboarding, PTO, benefits tracking, and support for third-party integrations. Their pro-level pricing tier, however, introduces quite a bit more functionality – including strategic performance management, employee engagement, rewards, and access to BambooHR's extensive community of current users.

Additionally, they both let you create onboarding / offboarding tasks that can easily be tracked by individual employees and the management team. BambooHR also offers a mobile app, available on iOS and Android, for remote teams and users..

  • Although BambooHR doesn't list specific prices online, some user reviews mention their high price point when compared to the alternatives

8. Leapsome - Great Onboarding Tool with Native AI

Screenshot of employee onboarding software Leapsome

Touted as a "people enablement platform", Leapsome's all-in-one HR platform offers onboarding, eLearning, performance reviews, employee engagement, one-on-one meetings, and more.

But Leapsome's next-gen AI really sets this new hire onboarding software apart from its competition. Although it's still in its infancy stages, Leapsome AI is already capable of creating surveys and generating actionable insight from the results, establishing objectives and key results (OKRs), writing performance reviews, and mapping career growth. It's an incredibly useful tool when it comes to building dynamic teams, engaging and retaining top talent, and automating menial or redundant tasks.

The Leapsome team also makes it easy to get started on the platform. Not only does every new account receive a dedicated customer success management, but they provide total implementation support for those that need it. Online resources, in the form of tutorial videos and comprehensive articles, are also available in their knowledge hub. • Leapsome doesn't offer a dedicated app for iOS or Android
  • The shear amount of features can be overwhelming to some users
  • Internal reminders and notifications aren't very flexible, especially when it comes to customizability
  • User reviews mention sporadic bugs and technical glitches with the Leapsome platform
  • Leapsome is only compatible with an extremely limited number of third-party integrations

9. Trainual - Leading Training Platform with Native Onboarding

Screenshot of employee onboarding software Trainual

Trainual is a comprehensive solution that combines digital documentation, recordkeeping, training, onboarding, workplace compliance, and team-building into a highly useful, all-in-one tool. It's compatible with dozens of third-party applications and integrations, letting you expand its functionality even further, and their online resource center is complete with useful templates, newsletters, podcasts, customer success stories, and blog posts.

As its name implies, Trainual was developed around employee training. It's a full-scale LMS at its core, but the software goes even further than that. Trainual utilizes next-gen AI to create processes that document themselves, develop standard operating procedures (SOPs) for every role in the company, and maintain accountability through customizable tests and reports.

Trainual supports the creation and storage of SOPs, individual policies, and even a user-friendly wiki. • Trainual's reporting features aren't as comprehensive as some of their competitors
  • Although Trainual does support images and videos, they cannot be uploaded directly to the Trainual platform and most be linked from an external source
  • The mobile app is rather limited in terms of functionality when compared to their web portal
  • Trainual's search functionality isn't as accurate as it could be

What is Employee Onboarding Software & What Does it Do?

The general purpose of onboarding software is to digitize, streamline, and optimize the process of introducing new hires to your company. While many popular solutions can also strengthen processes associated with recruitment, retention, and engagement, their core functionality revolves around onboarding recent hires. Other key features include:

  • Offboarding and reboarding: Some of the best onboarding software also provides support for offboarding, which serves as a formal end to an employee's tenure, and reboarding services to prepare former staff for their return to the workforce.
  • Document management: Most onboarding software lets you upload, download, and archive important HR documentation in a single, centralized repository.
  • Activity tracking: Keep track of daily tasks and activities while prioritizing the most important ones and delegating assignments across your team.
  • Training modules: Ensure the efficacy of employee skills and give them the opportunity to master new ones by implementing various training modules within your onboarding platform.

Onboarding software is ultimately designed to reduce administrative workloads while improving the initial experience for new hires.

How Have I Selected Employee Onboarding Solutions in This List?

The onboarding solutions highlighted in this list have all undergone a thorough vetting and review process. Specifically, I take the time to identify key features, analyze user reviews, test scalability, and verify the industry reputation of each platform.

Features

Each review starts by looking at the platform's primary features and functionality. Of course I'm really looking at the overall usability of their onboarding system – including how it works, how it looks, and how it improves on traditional onboarding practices. I also review any additional features while prioritizing those that complement, support, or expand on the platform's onboarding functionality.

User Reviews

Next, I take a moment or two to consider user reviews for each solution. Not only do I collect feedback from our partners and friends, but I also look at online user reviews. If multiple users are complaining about the same shortcomings, or if most users prefer one platform over another, then I take that into consideration before adding them to my list of the best onboarding software.

Scalability

I also consider the scalability of each solution. Employee onboarding platforms that scale up are great for new startups and small businesses that are planning to expand in the near future. Conversely, onboarding software that scales down, if needed, is helpful for companies who may be planning on reducing their workforce in the coming days, weeks, or months.

Industry Reputation

Finally, I take some time to research each vendor's industry reputation. Do they regularly update their software to address bugs and glitches? Is the customer support team able to respond to issues in a timely manner? Questions like these really help to narrow down the field and come up with the top results.

How Do Employee Onboarding Platforms Contribute to a Positive Employee Experience?

Employee onboarding tools are crucial when building positive employee experiences for modern teams. By digitizing the manual processes associated with traditional onboarding – such as distributing and collecting paperwork, training new recruits, and tracking their progress through the pipeline – the experience of hiring and onboarding new talent is improved for your entire organization.

But the best onboarding software benefits new hires, too. Instead of waiting for their contact to supply the necessary documentation in person, new hires can login to the onboarding platform and complete their paperwork online. Most platforms even provide a handy checklist that makes it easy for recruits (and their managers) to track progress throughout the onboarding phase.

Automated systems make the process even easier. By automating menial or redundant tasks, including document distribution, background checks, and skills verification, your HR and administrative personnel can focus their efforts on locating top talent, nurturing new hires, and engaging employees across the board. In this sense, employee onboard solutions have a positive effect on your entire team.

What Features Should a Top Employee Onboarding Software Have?

In order to remain competitive in the industry, it's important for each employee onboarding app to find its own niche. In most cases, this means offering the ideal combination of features for a specific industry, profession, or demographic. However, it's equally important for each solution to provide the standard functionality that most users are looking for in modern onboarding software.

Onboarding Checklists

The primary purpose of HR onboarding software is to make the initial onboarding process as smooth as possible, so it's only natural for most solutions to include a checklist of required tasks and activities. Not only does this let the new hire track their progress, but it makes it easy for managers to do the same.

Workflow Automation

Most employee onboarding solutions utilize some form of automation. Whether they automate the entire onboarding process or just a portion of it, automated onboarding software helps reduce administrative workload, minimize errors, and provide a standardized experience for all new hires.

Managerial Feedback

New hire onboarding software should make it easy to communicate with teammates. While some platforms can serve as full-scale instant messaging systems, others give managers the ability to leave feedback without letting the employee respond. In either case, it's important to establish communications between new hires and their supervisors as early as possible.

Analytics and Reporting

You'll also want a means of analyzing your recruitment efforts and disseminating the results to organizational leaders – and that's exactly where comprehensive analytics and reporting comes into play. Since most onboarding solutions already serve as repositories for employee records and other related data, it's only natural that they're used to highlight your company's strengths and weaknesses.

eSignatures

While almost every solution on this list offers some sort of document management functionality, the best ones provide support for collecting and storing eSignatures, too. It's just another – albeit very crucial – step in digitizing the entire onboarding process.

Employee Self-Service

Although it's not strictly a necessity, finding online onboarding software with an employee self-service portal helps empower your new hires right from the start. It also gives organizational leaders a better idea of which recruits need direct management and which ones are able to work independently.

Online Training

Another optional feature, online training modules are great for new recruits who need to verify their skills or learn new ones before their first day. Most solutions offer customizable quizzes and tests, but some take this even further by facilitating access to advanced training courses and certification programs via their employee onboarding training software.

Regulatory Compliance

Most organizations want an employee onboarding app that also takes care of regulatory compliance. This is just as important for companies that operate globally as it is for local businesses. Frequent updates, changes, and revisions are difficult to track, especially for smaller HR teams and individuals, so offloading these responsibilities to your onboarding solution is a great way to streamline day-to-day operations even further.

Customization and Personalization

It's nice to have a customizable platform that can be branded with your company logo and preferred color scheme. Not only does this make it easier for new recruits to become acquainted with your company, but it instills a strong sense of professionalism right from the start.

Third-Party Integrations

It's important to find a new employee onboarding software that works with the programs and apps you already use – whether that's applicant tracking system (ATS) software, people management tools, or any other type of HR-oriented solution. Some onboarding solutions are compatible with dozens or even hundreds of third-party integrations while others only support a few, so try to confirm compatibility before committing to a long-term purchase.

Which Platforms are Best for Remote Employee Onboarding?

Between dedicated web portals that are accessible from any internet connection to mobile apps that are easily used on-the-go, most online onboarding software already provides some amount of support to the remote workforce. Given the rising popularity of remote workers in the workforce today, it's not surprising to see more employee onboarding tools catering to this specific niche.

As part of their onboarding training software package, Trainual provides a comprehensive webinar – nearly one hour in length – that goes into great detail about their services. BambooHR offers useful templates that help you craft the perfect welcome email for new hires. ClearCompany allows you to create a custom onboarding packet specifically for remote workers, and Rippling offers numerous features that are meant to streamline the onboarding process for your remote workforce.

What are the Pricing Structures Offered by Employee Onboarding Software Vendors?

Although specific pricing is ultimately up to each vendor, most follow a common approach to pricing their onboarding platforms.

Subscription Pricing

Probably the most widely-used pricing model, subscriptions are typically available in monthly and yearly installments. The exact price usually varies, depending on the number of users or the exact features you want, but those who opt for long-term plans will usually enjoy a significant discount. An onboarding platform that offers their service at $10 per user per month, for example, might drop that to $7 or $8 per user per month when paid annually.

Tiered Pricing

Some onboarding platforms, like Atlas, offer multiple subscriptions within a tiered pricing structure. They offer a free service that supports up to 10,000 users, but the features and functionality are limited when compared to their other tiers. Those who want access to a few more features can opt for their Standard plan, while organizations that want to access everything Atlas has to offer will choose the Premium plan.

Perpetual Licensing

Certain vendors offer perpetual licensing – in the form of a one-time fee – for those who want to use their onboarding platform indefinitely. There are some drawbacks to consider, however, as you might need to pay for software updates and upgrades in the future. In many cases, perpetual licenses are granted to organizations who want to host their onboarding solution in-house as opposed to storing everything on the cloud.

Final Words & Conclusion

Onboarding software takes on many different forms. While there are some services that are available as add-ons to other HRMS platforms, those who want to make the most of their onboarding process – and those who want to engage employees right from the start – really need a dedicated onboarding solution. Many of these tools are compatible with the software you already use on a daily basis, while others offer a brand new experience for you, your current teammates, and your future new hires.
