Why Should You Trust These Chatbot Vendors and My Advice?

Recruitment and HR chatbots stand out from other HR software suites in a variety of ways. Whereas chatbots generally utilize next-gen AI to mimic human speech and thought patterns, particularly for use in recruitment and onboarding, full-scale HR platforms – which generally pick up where chatbots leave off – are meant for managing and interacting with your current staff.

In order to form a complete and accurate review of HR and recruiting chatbots, it takes an HR software expert who is familiar with traditional HR tools, advanced AI algorithms, and modern chatbot functionality. While I've personally been using and researching HR platforms for over 10 years, my familiarity with advanced computer software – including AI – goes back even further than that.

Additionally, I've tapped into the collective expertise of various HR staff members, business leaders, and entrepreneurs in order to get their opinions on the software they use on a daily basis – especially when it comes to recruitment and HR chatbots.

Best Recruitment & HR Chatbots to Try in 2024

While some chatbots are purpose-built for hiring, onboarding, recruitment, or talent acquisition, others are only used after a new recruit has joined your company. Understanding the key differences between the most popular solutions – and knowing which services you need – is the key to finding the chatbot that is right for you and your organization.

1. Olivia – Leading Recruitment Solution with Multilingual Support

recruitment chatbot Olivia

Developed by the team at Paradox, Olivia is a conversational AI and recruiting chatbot that makes it easy to find new talent, schedule interviews, provide assessments, and monitor recruits throughout the onboarding process. According to their website, users experience an 82% decrease in total time-to-hire, a 50% decrease in job advertising, and a 99% candidate satisfaction rating overall – and it's all thanks to Olivia.

Olivia uses next-gen AI to mimic the actions and responses of real HR staff. The fully automated process starts with some pre-screening questions asked by the Olivia AI agent. If the applicant qualifies, they're automatically scheduled for an interview with a hiring manager. Once that step is complete, Olivia sends employment offers to any successful recruits. It's an easy and efficient way to hire new staff – especially when you're working with hundreds or thousands of potential recruits. Although it's generally preferred by organizations who engage in high-volume hiring on a regular basis, it's suitable for use by small- and medium-sized businesses, too.

Some of Olivia's current users include T-Mobile, Stanley Steemer, ADP, Johnson Control, Tractor Supply Co., CVSHealth, Whole Foods Market, 7-Eleven, Lowe's, Amazon.com, Chipotle, McDonald's, Allstate, and others.

Things I Liked

  • Easily automate recruitment and onboarding functionality to make the process easier – and faster – for jobseekers and HR staff alike
  • Olivia supports 30+ different languages, making it a great solution for organizations that operate on a global scale
  • New features are forecasted through product roadmaps
  • The Paradox customer support team is quick to respond to issues involving their Olivia AI platform

Things I Didn't like

  • There is a bit of a learning curve associated with the Olivia platform
  • Olivia's reporting features aren't as customizable as they could be
  • Some questions and queries aren't correctly processed by Olivia's AI functionality, which could result in irrelevant responses
  • While Olivia is compatible with third-party ATS and CRM software, it works best when used in conjunction with other Paradox products
  • Some users report issues with the initial implementation and setup

2. MeBeBot - Great HR Solution for Large Teams Needing Integrated Software

MeBeBot recruitment chatbot screenshot

Officially known as the MeBeBot AI Digital Employee Experience (DEX), MeBeBot utilizes generative and authoritative AI to function as a virtual assistant to your entire staff. It's primarily meant for use with Slack, Microsoft Teams, and Microsoft SharePoint, but it's available as a web-based chatbot, too.

While it doesn't do much for recruitment and onboarding, MeBeBot can help employees – particularly new hires – find answers to common questions, upload necessary documents, and complete surveys based on their experiences thus far.

MeBeBot is easy to install and set up. Not only does it use an AI wizard to generate answers to common employee questions, but it simplifies the process of creating and maintaining an online FAQ or knowledge base. It features automated verification and authorization when answering questions, and it's even helpful when monitoring employee feedback and creating actionable insights. Finally, MeBeBot also utilizes machine learning to help the platform expand its knowledge based on previous questions and answers, which makes it even more effective over the course of time.

Some of MeBeBot's current customers include Epicor, Abrigo, Crowdstreet, e2open, Ziff Davis, IGT, Terminal, and many others.

  • MeBeBot's support team regularly responds to customers and sometimes adds new features based directly on customer feedback
  • The versatile tool has many different viable applications as a virtual employee assistant, automated HR support agent, IT helpdesk, and more

Things I Didn't like

  • The MeBeBot is really designed for integration with other apps and it really isn't meant as a standalone tool
  • Lack of free trial means interested customers have no choice but to sign up for a hands-on product demonstration
  • While new languages are being added to the MeBeBot platform, it doesn't provide support for as many different languages as some of their competitors

Screenshot of recruitment chatbot user interface Radancy

If you're looking for a solution that lets you hold live chats with new recruits at any time and any place, look no further than Radancy. The platform lets you host virtual career fairs, featuring video, audio, or text chat, and Radancy's platform can streamline in-person events, too. Multi-channel advertising channels help you spread awareness of upcoming events through online job boards and the Radancy community, and potential candidates can be tracked throughout the entire process.

Radancy saves your company money while helping you hire talent faster than ever before. According to the latest statistics, the average user sees a 25% improvement in overall time-to-hire, a 30% reduction in cost-per-hire, and a 75% reduction in third-party spending when using their platform.

While Radancy is at its best when serving larger organizations and corporations, it can accommodate the needs of smaller businesses, too. It's a great option for those who want a simple chatbot that can easily transfer candidates to live representatives as needed, but it lacks the sophisticated AI algorithms that are seen in many other recruiting bots.

Radancy's current customers include UPS, Hulu, Spectrum, CVS Health, Capital One, Sony Pictures, Temple University, Lincoln Financial Group, KPMG, and others.

  • Although potential users can request a free product demonstration, there is no free trial of any kind
  • Pricing information isn't available via the website and is only available after requesting a custom price quote

For employers, Ideal makes it easy to scale your workforce as needed. Busy periods can easily be staffed with top talent, and the platform offers a variety of talent pools to help you find the exact employees you need.

  • At the time of this writing, Ideal lacks support for any languages beyond English
  • Ideal doesn't have an available API (application programming interface)
  • The Ideal platform is only available in certain geographical regions within the United States, so availability may be limited

The bulk of HireVue's functionality revolves around on-demand video interviews and assessments. It empowers candidates by letting them record interviews and perform assessments on their own time, while giving HR teams and hiring managers the ability to view their interviews according to their own schedules. Speed controls make it possible to speed up interviews, which works great during longer consultations, and HireVue's candidate assessment tools eliminate any potential bias in the hiring process.

Moreover, HireVue's Virtual Job Tryout service provides relevant exercises for candidates across 40+ different industries, departments, and roles. This gives your HR team the opportunity to verify the necessary skills before making a long-term commitment to one candidate or another. An online resource center provides access to actual case studies, informative articles, whitepapers, and an ROI calculator, while the HireVue blog is regularly updated with tips for both employers and employees.

Finally, HireVue is compatible with numerous third-party platforms and apps, including Workday, SAP, Oracle, SmartRecruiters, PageUp, iCIMS, Eightfold, Greenhouse, Oleeo, and more. Eightfold's AI algorithms are useful in a variety of settings. Moreover, Eightfold can help you build a friendly and inviting work environment for employees of all backgrounds. Their AI platform uses numerous tools to eliminate bias in the hiring process, including anonymized candidate profiles, and it's capable of detecting (and flagging) any perceived bias that remains. • Eightfold doesn't allow hiring managers to make custom notes regarding candidates
  • Moving candidates through the various stages of the hiring process isn't as efficient as it could be

Screenshot of BambooHR's version of recruitment chatbot

Much more than a simple chatbot, BambooHR is a full-scale recruitment and HR management platform. • BambooHR's reporting functionality is rather basic and lacks the same amount of customizability seen in other elements of the platform

8. Humanly - Top Recruitment & HR Solution for High-Volume Hiring

Screenshot of Humanly user interface - a recruitment chatbot

Humanly utilizes conversational AI to accommodate high-volume screening, scheduling, and hiring. Because of its next-gen Ai functionality, the Humanly copilot is capable of answering 50% of candidate questions during the initial recruitment process. It works by leveraging the information found in your own content, so you don't have to worry about false or misleading answers, and it spares your HR staff from having to answer the same questions over and over again.

Once the initial screening process is complete, Humanly's AI copilot joins your scheduled interviews – either via Zoom, Microsoft Teams, or Google Meet – to automatically take notes and provide the appropriate follow-up communications. Finally, all of this data will be updated and synced with your third-party ATS.

The Humanly platform is also great when it comes to developing a strong company culture and increasing employee engagement. It's compatible with other engagement apps, including OfficeVibe, Culture Amp, and TINYpulse, so you'll be able to use Humanly in tandem with the other software tools you already use.

  • Built-in reporting tools are somewhat limited when compared to the competition

The platform is incredibly useful when it comes to answering common and frequent questions. Instead of directing users to a long-form article within an online knowledge base for further assistance, Espressive Barista provides a relevant, accurate answer within a matter of seconds. New information can be added to the chatbot as needed, so it's easy to keep it updated with any changes to your internal recruitment and hiring processes.

While the initial implementation process is easy enough, the Espressive team does a great job of offering additional support and information with eBooks, infographics, case studies, research papers, product documentation, tutorial videos, and webinars. What are Recruitment and HR Chatbots & What Do They Do?

Today's recruitment and HR chatbots use a combination of next-gen AI and natural language processing to ease candidates through the initial hiring and onboarding process, schedule interviews, and respond to HR inquiries.

Most platforms are capable of pre-screening candidates and verifying specific skills, experiences, or credentials, but some take this even further by recommending certain job openings based on the candidate's profile. Others include additional functionality, too, such as benefits administration, employee rewards, skill training, and more.

Recruitment and HR chatbots provide numerous benefits. They reduce the overall workload of your hiring managers and HR teams while helping you reduce overhead costs. Chatbots are also useful when trying to improve the experience for new hires and established workers alike.

However, chatbots aren't without their share of challenges. While some solutions are extremely accurate when qualifying candidates and recommending roles, others might misinterpret their past experiences or credentials.

It's also important to achieve the ideal blend of automation and personalization. Relying too heavily on automation can actually lessen the employee experience and make it difficult for new hires to build connections with their teammates, so take care when choosing which activities to automate and when to incorporate your human staff members.

Primary HR & Recruitment Chatbot Use Cases

With so many potential applications for HR and recruitment chatbots, some organizations aren't sure how to make the most of their chosen platforms. In situations like this, it's helpful to borrow inspiration from other organizations that have already implemented HR and recruiting chatbots for their team.

Securing Top Talent

Top talent is hard to find. In some cases, top talent is even more difficult to retain. As such, HR and recruitment bots are becoming increasingly common in the initial hiring pipeline. While some look for qualified applicants within an internal talent pool, others are capable of scouring recruits from all across the internet. Some solutions make it easy for potential recruits to contact your organization, while others give your HR staff the tools needed to source and secure top talent on their own.

But the usefulness of modern recruitment and HR chatbots doesn't end there. Between platforms that automatically filter candidates according to their skills or experience and apps that keep employees engaged throughout their entire tenures, these platforms are a valuable asset to any organization that wants to streamline their hiring and workforce management processes without affecting the overall quality of their team.

Candidate Screening Automation

Recruitment and HR chatbots are highly useful in automating the candidate screening process. Depending on your needs, you might want to screen recruits according to numerous factors, including:

  • Individual skills
  • Prior career history
  • Education or professional training
  • Geographic location

Today's HR and recruiting bots make it easy to filter potential candidates as needed. Not only does this save your hiring managers the time and effort of having to manually screen each application or resume, but some provide the ability to immediately reject candidates who don't meet certain criteria – ultimately saving your organization even more time in the end.

Employee Onboarding

One of the most common usages of recruitment and HR chatbots, most employee onboarding processes stand to benefit immensely from next-gen technology and automation.

In a traditional hiring pipeline, the employee onboarding process is usually driven by a hiring manager or an HR staff member. These organizational representatives need to locate top talent in the first place, screen candidates, schedule and conduct interviews, and extend offers to qualified recruits.

With the help of HR and recruitment chatbots, however, all of these steps can easily be automated. Instead of making your HR team find top talent, these automated systems bring the talent to you. Most platforms are also capable of screening recruits and scheduling interviews, too – so your team doesn't even enter the process until the very end of the hiring pipeline.

Comprehensive Analytics

The best recruitment and HR chatbots also provide access to some sort of analytics. While this can vary greatly between solutions, these figures and statistics serve several different purposes:

  • Assessing the performance of your recruitment efforts
  • Identifying trends, challenges, bottlenecks, and areas of improvement
  • Disseminating information to key stakeholders through various reports and presentations

Despite the importance of analytics, a recruitment or HR chatbot that doesn't include this kind of functionality shouldn't be immediately disqualified. There are a plethora of alternative options when it comes to analytics, and most established HR teams already have dedicated analytics software in place. For startups that have yet to build their tech stack, however, or for those who are interested in moving to a new analytics platform, there are plenty of recruitment and HR chatbots that fit the bill.

Website and Third-Party Integrations

Don't forget to test your chosen recruitment and HR chatbots for compatibility with your website. If you already have an established tech stack, you'll want to ensure compatibility with the rest of your software, too.

Many organizations provide access to both their recruitment and HR chatbots from their official website. While this certainly makes it easier on your web developers, it's not always the best approach. Potential candidates and new applicants don't necessarily need to access your HR functionality – they're still working their way through your hiring pipeline. Because of this, some organizations won't even provide access to their HR chatbots until after the recruit has been hired into the company.

Employee Assistance & Support

Whereas chatbots for recruiting are aimed at new hires and the initial onboarding process, general HR chatbots are meant to support your established staff. Every applicant will likely interact with your hiring chatbot in one form or another, but only the successful candidates will see your HR chatbot.

As such, it's important to find an HR chatbot that makes it easier for your employees to find the support they need. Most can already reach out to an HR representative if they need help with an issue – the goal here is to provide a self-service option that empowers your staff while easing the day-to-day burden of your HR team. Thankfully, as a fundamental feature of most HR chatbots and software platforms, there are plenty of options to choose from.

What Features Should Businesses Look for When Selecting a Recruitment Chatbot?

The sheer number of chatbots available – and the variety of features they offer – can make it difficult to narrow down your options. In an effort to make your decision a little easier, I've highlighted some of the key features to look for amongst today's HR and recruitment chatbots.

  • AI-driven candidate screening: An AI chatbot for recruitment is helpful when screening candidates and their resumes before they ever reach a hiring manager or HR staff member.
  • Seamless integration with existing software: While some platforms serve as all-in-one HR solutions, other chatbots work directly with your current software to share data and update records as necessary.
  • Multilingual support: Most chatbots support the English language as a default. If you're working with recruits or staff members from other countries, it's critical to find a chatbot that is available in their native languages, too.
  • Customizable workflows: Some chatbots offer customizable workflows that can detect specific actions and automatically trigger the appropriate actions.
  • Data analytics: Chatbots that offer built-in analytics make it easy to track productivity and disseminate results for any key stakeholders.

It's critical to find a chatbot with a user-friendly interface that is easily understood by your team. However, it's also important to find one that closely aligns with your current recruitment strategies and long-term business goals.

How Do Recruitment and HR Chatbots Improve the Employee Experience?

Recruitment and HR chatbots optimize, streamline, and improve the employee experience in a variety of ways. While the exact features depend on your chosen platform, most modern chatbots are capable of answering questions, guiding the onboarding process, and simplifying common tasks.

  • Answering questions: One of the primary purposes of chatbots in general, these platforms provide answers to basic or common questions without having to involve a live support agent.
  • Guiding the onboarding process: Some recruitment and onboarding pipelines involve multiple stages and activities. Thankfully, modern chatbots can direct new candidates through the process while streamlining onboarding activities for new hires and HR staff.
  • Simplifying common tasks: Chatbots can simplify tasks beyond the onboarding process, too – especially when it comes to account management and administration. Giving employees the ability to create their own profiles, upload headshots, and change their passwords reduces the day-to-day workload for HR staff.

Can Recruitment and HR Chatbots Integrate With Existing HR Systems and Software?

Many of the platforms reviewed here, and most chatbots in general, integrate with HR systems and software in a variety of ways. Some of the most common applications include:

  • Integrating the chatbot directly into your website, ATS, or CRM platform
  • Synchronizing data that is given to the chatbot with existing employee or candidate records
  • Screening candidates according to pre-set conditions or criteria and, in some cases, providing job placement services
  • Training new recruits according to specific standards or instructions
  • Automatically locating data within an online FAQ or knowledge base

Chatbots for recruiting and hiring help streamline day-to-day operations for your established staff while making it easier for new recruits to assimilate into your team. If you encounter any issues during the initial implementation process, most chatbot vendors have a dedicated support team that can help ensure a smooth integration.

Conclusion

Traditional recruitment and HR processes typically require the hands-on participation of an entire team of experts. From recruiters and hiring managers to HR personnel of all kinds, the average hiring pipeline consists of multiple phases that involve teammates from several different departments.

But what if you could optimize, streamline, and automate many of the tasks associated with hiring and workforce management? Not only would you be able to reduce overhead costs, but you'd be able to reassign your top talent to new, more impactful roles. Moreover, you'd find it easier to locate and secure rising talent as it becomes available – and that's exactly  where modern HR and recruiting bots come into play.
